Data handling and deployment boundaries
Know which information is needed, where it will go and who is responsible for it.
Data owners and security reviewers
Agree the data boundary before intake
Projects can involve requirements, source material, configuration, test data, generated artifacts and diagnostic records. Identify which categories are necessary and approved for the work. Use synthetic examples when real data is not needed, and do not include secrets in requirements, screenshots or general support messages.
Follow information through the workflow
| Stage | Review question |
|---|---|
| Collection | Which sources and operations are approved by the owner? |
| Processing | Which services and environments may process the material? |
| Storage | Where are project artifacts, logs and backups held? |
| Model use | Which model endpoints receive which approved content? |
| Delivery | Which artifacts are provided, to whom and by what channel? |
| Retention and disposal | What terms, exceptions and deletion process apply? |
Resolve deployment-specific terms
Ask for the agreed hosting location, environment separation, encryption arrangements, backup scope and recovery expectations. Confirm retention and deletion terms for artifacts, logs and backups, including relevant third-party services. Do not infer a universal residency, retention or model-training policy from a general product description.
For regulated or restricted information, confirm that the proposed environment and processing arrangement are approved before providing it. An available upload or connection control is not a determination that the information is permitted there.
Keep the boundary current
A new integration, model endpoint or dataset may change the review. Record the proposed change, its purpose and the information affected; obtain the required approval before expanding access or processing. If sensitive information is provided unexpectedly, stop further sharing and use the agreed incident or support route.
